At Firavex, we understand that your trust is earned through transparency and action. This Privacy Policy explains exactly what information we collect, how we use it, and what rights you have over your data.
We're built by salespeople who hate unnecessary complexity, so we've written this policy in plain English. If you have questions, reach out to privacy@firavex.com.

When you create an account, we collect your name, email address, phone number, company name, job title, and billing details (such as payment method tokens — we never store raw card numbers).
Information you input about your contacts, including names, email addresses, phone numbers, company details, job titles, interaction history, notes, call outcomes, and any custom fields you define.
Call logs including timestamps, duration, outcome dispositions, and phone numbers dialed. With your consent, we also record and transcribe calls made through the platform for quality assurance, coaching, and AI-powered insights. Inbound and outbound SMS messages are also logged when using our messaging features.
We automatically collect information about how you use Firavex, including pages visited, features used, buttons clicked, dialer sessions started, campaigns launched, email opens and clicks, and platform performance metrics.
Information about the devices you use to access Firavex, including IP address, browser type and version, operating system, device identifiers, and general geographic location derived from IP address.
Billing-related information such as your subscription tier, payment method type, and last four digits of a card on file. Full payment card details are processed and stored exclusively by our PCI-compliant payment processor — Firavex never stores raw card numbers, CVVs, or full account numbers.
Inputs you provide to AI features such as Grace AI Coach, including prompts, questions, and call context. This data is used solely to generate responses within your session and improve accuracy of AI features for your account.
To provide, maintain, and improve Firavex services, including the power dialer, CRM, email campaigns, call transcription, and AI coaching features. Your data is the foundation of the platform's functionality — it is used exclusively to serve you.
To manage your subscription, process payments, issue invoices, and communicate important account-related updates such as renewal notices, usage limits, and plan changes.
We use your email address and contact information to send service-related communications — such as security alerts, billing receipts, feature update notices, and support responses. We do NOT use your information to send marketing or promotional messages unless you have explicitly opted in.
To power AI-driven features like Grace AI Coach, call transcriptions, sentiment analysis, lead scoring, and personalized sales recommendations. Your data is processed to generate insights for your own use — it is not used to train models for other customers or sold to AI providers.
To analyze aggregate usage patterns, identify product bugs, and guide our engineering and product roadmap. Analytical insights are derived from anonymized or aggregated data wherever possible.
To detect and prevent unauthorized access, fraudulent activity, abuse, and security threats. We monitor access logs and platform behavior to protect the integrity of your account and data.
To comply with applicable laws, regulations, and legal processes, and to enforce our Terms of Service and protect the rights of Firavex and our users.
Firavex will never sell, rent, lease, or trade your personal information, contact data, or business data to any third party. This is an absolute commitment, not a conditional one.
Your data will never be shared with third parties for advertising, marketing, or promotional purposes — not ours, not theirs. We do not participate in data broker networks, ad exchanges, or cross-platform marketing programs of any kind.
We do not allow third parties to profile you, build audience segments from your data, or use your information to target you with ads on other platforms. Your usage of Firavex stays within Firavex.
We work with a limited set of trusted infrastructure providers (e.g., cloud hosting, telephony via Twilio, payment processing, email delivery) who access only the minimum data required to perform their specific function. Each provider is bound by strict confidentiality and data processing agreements, and is prohibited from using your data for any purpose beyond providing the contracted service.
If you voluntarily connect Firavex to a third-party CRM (Salesforce, HubSpot, etc.), data is shared only as directed by your integration settings and only to synchronize the contacts and activities you select. You control what is shared, and you can disconnect integrations at any time.
We may disclose information if required by law, valid court order, or governmental request. We will notify you of any such request unless legally prohibited from doing so, and will limit disclosure to only the information legally required.
If Firavex is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction. We will provide advance notice and ensure your data continues to be protected under equivalent privacy standards.
All data transmitted to and from Firavex is encrypted using industry-standard TLS/SSL protocols. Sensitive data at rest is encrypted using AES-256 encryption.
We implement strict access controls and authentication mechanisms to ensure only authorized personnel can access your data.
Firavex maintains SOC 2 Type II compliance, demonstrating our commitment to security, availability, and confidentiality.
We conduct regular security audits, penetration testing, and vulnerability assessments to identify and address potential risks.
Your data is automatically backed up daily to secure, geographically distributed servers to prevent data loss.
You can access, export, and download your data at any time through your account settings. Contact support for assistance with large data exports.
You can update or correct your account information and contact data directly within the platform.
You can request deletion of your account and associated data at any time. We will delete your data within 30 days, except where retention is required by law.
You can opt out of marketing emails and non-essential communications. Service-related emails (security alerts, billing notices) cannot be opted out of.
Firavex respects Do Not Track (DNT) browser signals and will not track users who have enabled DNT.
We retain your data for as long as your account is active and you continue using Firavex services.
If your account is inactive for 12 months, we may delete your data after providing notice and opportunity to reactivate.
Call recordings are retained for 90 days by default. Enterprise customers can configure custom retention periods up to 7 years for compliance purposes.
Backup data is retained for 30 days after deletion from primary systems to allow for disaster recovery.
This app uses the Gmail API with the gmail.send scope to send emails on behalf of users. It does not store or persist any email content on its servers.
The app uses the Google Calendar API to read and write calendar events, and it stores calendar history (event titles, times, attendees, and metadata) on its own servers to provide historical views, reporting, and automation features. Users can revoke access at any time via the app settings or by disconnecting their Google account.

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These measures may include access controls, encryption in transit and at rest where appropriate, logging and monitoring, secure development practices, and periodic review of access permissions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If you connect your account to Microsoft services, we may process information through Microsoft APIs as needed to provide calendar, email, customer, subscription, or related CRM functionality. We use only the permissions necessary for the features you enable, and access is limited to the data required to operate the service. We do not claim to be Microsoft, and any Microsoft services remain subject to Microsoft's own terms and privacy practices.
We maintain a privacy and security program intended to support applicable legal and contractual obligations, which may include data protection, access management, and incident response practices. Any reference to compliance in this policy refers to our internal controls and operational practices unless we expressly state otherwise in writing. We do not represent that our service is certified under any specific security standard unless we have publicly documented that certification.
We access and store only the data necessary to provide, maintain, and improve our services, to troubleshoot issues, and to support customer requests. Where required, we rely on customer consent, admin consent, or other lawful bases for processing. You may revoke Microsoft-related access at any time through your Microsoft account settings or by contacting us for assistance.

You can control non-essential cookies through your browser settings. Disabling cookies may limit some platform features.
Firavex is based in the United States, and your data is primarily stored on servers in the U.S. If you're accessing Firavex from outside the U.S., your information will be transferred to and processed in the U.S.
We comply with applicable data protection laws, including GDPR for European users and CCPA for California residents. We use standard contractual clauses and other legal mechanisms to ensure your data is protected during international transfers.
Firavex is designed for business use and is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children under 18.
If we become aware that we have collected information from a child under 18, we will take steps to delete that information immediately.
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.
When we make material changes, we'll notify you by email or through a prominent notice on the platform at least 30 days before the changes take effect. Your continued use of Firavex after the changes become effective means you accept the updated policy.
We'll always post the date of the latest update at the top of this policy so you know when it was last revised.
